How to Use Batch YouTube Transcription
Transcribe dozens of YouTube videos in one go. No more copy-pasting each link one by one. Here is everything you need to know about batch transcription.
Recording interviews, lectures, podcasts, and webinars on YouTube is fast, but manually transcribing each video takes hours. With batch transcription, you can upload a list of YouTube URLs and receive clean, timestamped transcripts — all in one operation. Whether you are a researcher, journalist, or content creator, batch transcription unlocks a major productivity boost.
In this guide, we will walk you through the entire process: preparing your video list, uploading it, choosing output formats, and downloading your transcripts. By the end, you will be transcribing hundreds of videos in minutes.
How It Works
- 1
Gather your video links
Collect the URLs or video IDs of every YouTube video you want to transcribe. You can copy them from a playlist, a search result, or a spreadsheet – any list works.
- 2
Paste them into the batch input
On the batch transcription page, paste one URL per line (or separate them with commas). Our tool supports standard YouTube links (youtube.com/watch?v=…, youtu.be/…).
- 3
Choose your output format
Select the subtitle or document format you need: plain text, SRT, VTT, or CSV. You can also choose "All formats" to get every version at once.
- 4
Click Generate and wait
Hit the "Generate Transcripts" button. A progress indicator will show how many videos have been processed. Most batches finish within a minute.
- 5
Download your transcripts
Once processing is complete, you will see the transcripts listed. Download individual files or grab a ZIP archive. The "Copy all" button copies every transcript to your clipboard.
Supported Export Formats
Our batch transcription tool supports all popular subtitle and document formats. You can choose one format for all videos or mix and match.
- Plain Text (.txt) – Simple text transcripts, one line per segment.
- SubRip (.srt) – Standard subtitle format with timecodes, ideal for editing.
- WebVTT (.vtt) – Web-native subtitle format used by HTML5 video players.
- CSV (.csv) – Structured data with start, end, and text columns, perfect for analysis.
Tips for Best Results
Use videos with captions enabled
YouTube videos with manual or auto-generated captions produce the most accurate transcripts. Check that the video has a "CC" icon before adding it to your batch.
Batch size matters
For reliably fast processing, keep batches under 50 videos at a time. Larger batches still work but may take a few minutes longer.
Verify language settings
If a video has captions in multiple languages, we will use the primary language detected by YouTube. You can override this in the advanced options.
Download all or one
Once the batch finishes, you can download a single transcript or a ZIP archive containing all files. We also offer a "Copy all" button for quick pasting.
Example Workflow
Let's say you want to transcribe 12 conference talks from a playlist. Here is how you would do it:
- Copy the 12 YouTube URLs (or the full playlist URL).
- Paste them into the batch input field – one per line.
- Select "SRT" as the output format for subtitle files.
- Click "Generate Transcripts" and wait for the progress bar to complete.
- Download the ZIP archive containing all 12 SRT files.
- Import the SRT files into your video editor – done.
The whole process takes less than two minutes for 12 standard-length talks.
Frequently Asked Questions
How many videos can I transcribe at once?
There is no hard limit, but batches of up to 50 videos work best. For larger volumes, consider splitting into multiple batches – the tool remembers your previous results.
Does it work on videos without captions?
For the best accuracy, we recommend using videos that have either manual or auto-generated captions enabled. If a video has no captions, the transcription will fall back to an audio-based service, but quality may vary.
Can I transcribe private or unlisted videos?
Only public YouTube videos are supported. Unlisted videos may work if you are the owner, but private videos are not accessible via the public YouTube API.
What languages are supported?
We support all languages that YouTube provides captions for. The tool will attempt to detect the primary language of each video and transcribe it accordingly.
How long do transcripts stay available?
Your generated transcripts are stored securely for 30 days. You can always revisit your Dashboard to redownload them. After 30 days they are automatically deleted.
